From 1 January 2027 every farmer using plant protection products must keep treatment records electronically. In Nirby they build themselves from completed treatments, and you download the finished document as PDF or Excel.

The obligation comes from Commission Implementing Regulation (EU) 2023/564. It covers all professional users of plant protection products, which in practice means every farm, whatever its size.

The date of application is postponed by a year, from 1 January 2026 to 1 January 2027.

Frequently asked questions about electronic spray records
From 1 January 2027. The obligation comes from Commission Implementing Regulation (EU) 2023/564. It was originally to apply from 1 January 2026, but Regulation (EU) 2025/2203 of 31 October 2025 postponed it by a year.
All professional users of plant protection products. In practice that is every farm that uses plant protection products, whatever its size or type of production, and contractors who spray for others.
From 1 January 2027 records must be electronic and machine-readable. Paper notes must be transferred into electronic form within 30 days of the treatment. In Nirby a treatment goes into the records as soon as it is saved.
Among other things: product name and authorisation number, date and time of the treatment, rate, field and treated area, crop, BBCH growth stage and the reason for use. Nirby records all of this with each completed treatment.
At least 3 years, under Article 67 of Regulation (EC) No 1107/2009. In Nirby records from previous seasons stay in the system and can be downloaded at any time.
Yes. Records in Nirby are electronic and contain the data required by Regulation (EU) 2023/564. You can export them to Excel, a machine-readable format, or to PDF.
In Poland the State Plant Health and Seed Inspection Service (PIORiN). Data may also be checked during payment inspections. Nirby produces the finished document in seconds.
Missing or incomplete records can lead to penalties during inspections and problems with direct payments, so it is worth keeping them up to date rather than filling them in before an inspection.
Yes. Products in Nirby are linked to the plant protection product register, and each treatment is marked compliant, warning or violation, for example when a product is not approved for the crop or the rate exceeds the approved range.
Yes. Select several treatments and fill in the time and reason in bulk. Where the rules do not require a time, the system marks it.
Yes. Products enter stock from the invoice and completed treatments book their use, so records, stock levels and field costs rest on the same data.
